Programs Coordinator 

Job Description

If so, we invite you to apply for the position of Programs Coordinator at ITAKA Foundation, Cameroon.​

Key Responsibilities: 

The Programs Coordinator will report to the Director of ITAKA Central Africa and be responsible for the following tasks: 

 

Capacity Building and Knowledge Management

  • Manage all ITAKA Foundation’s programs, including organizing and communicating major meetings and events (e.g., Training sessions for staff, meetings, donor meetings, international conferences, and country-level workshops).

  • Serve as a knowledge resource, training younger staff, developing policies, templates, and tools related to programs.

  • Support knowledge management activities, content creation, in collaboration with Communication Office, including writing for the website, blogs, and contributing to social media pages.

Liaison and Coordination:

  • Act as a liaison between the Director, staff and colleagues in the central African sub region.

  • Coordinate new program initiatives, project management, funded events, and communication activities.

  • Collaborate with other country staff for development of weekly, monthly and annual reports. 

 

Professional Development:

Depending on qualifications and experience, opportunities may exist to support impact evaluations, professional services, and project/grant management.

  • The Programs Coordinator will oversee the day-to-day delivery of the programs of the organization  

  • The Programs Coordinator will provide key program and technical support to the projects.

  • The Programs Coordinator will create platforms to engage relevant stakeholders (government, NGO, CBO and community) to ensure the target population will access services. Ensure that they are consulted on key issues that affect them.

  • He/She will develop, review and revise project work plans, and manage overall budgets in consultation with Finance Team and other stakeholders.

  • Plan and coordinate project activities, forums, meetings, training, and other events related to the project.

  • Prepare internal and external reports about the project.

  • Ensure proper recording and management of information for project indicators and other monitoring and evaluation tools as required.

  • Monitor adherence to funders’ agreement of activities and programmatic work.

  • Ensure times bound conditions are reflected by date, working with partners as appropriate to ensure time constraints are met.

  • Ensure day to day risk is escalated and managed as planned.

  • In consultation with the General Coordinator, manage and support all Partners and staff employed by the Project.

  • Organize and execute partners monitoring and support visits and provide reports accordingly.

  • Review project reports and provide support or follow up as need be.

  • Coordinate on all partners check in calls.

  • Regularly support to junior staff in the form of mentorship on their 

  • Coordinate on developing donor reports and provide timely and adequate 

  • Support Project staff develop work plans for their project.

  • Guide volunteers and other staff of their weekly and monthly plans.

  • Ensure consultants and other hired personnel adhere to their contracts.

  • Support, communication and capacity building including providing technical support on project interventions to partners.

  • Lead the Proposal development team of the organization, developed proposals and submit on a monthly basis to different donors.

  • Ensure staff effective presence at work and efficiency on the work entrusted them.

 

Administrative responsibilities:

  • Receiving, recording and filing incoming and outgoing correspondence

  • Drafting of mail and transmission to recipients.

  • Drafting of various notes and reports

  • Management of the archives of the projects of the Foundation.

  • Physical and electronic documents (scanned invoices, project documents etc) of  projects.

  • Telephone and physical reception and orientation of visitors in the office.

  • Maintenance of telephone directory, e-mail and postal addresses

  • Organization of meetings and meetings in Bamenda:

  • Preparation of the agenda in collaboration with the Director

  • Proposal to the Director of the text of the convocation/invitation of participants

  • Preparation of the necessary file for the meeting

  • Follow-up of the maintenance and upkeep of equipment in the office: furniture, IT tools, vehicles, etc

 

Financial responsibilities:

  • Preparation after consultation with the Director, the Program Coordinator shall responsible for the ordinary and extraordinary budgets of the works and projects of the organization.

  • Carrying out, under the supervision of the Director and with the collaboration of those responsible for the works, the ordinary and extraordinary financial monitoring (monthly, quarterly and annual) of the works and projects and transmission to the Head Office in Yaounde for validation.

  • Support for the accounting of the works and the ItakaFoundation.

  • Presentation of the financial statements of the project works during the quarterly and annual meetings of the headquarters team after validation by the coordinator.

  • Payment of bills (CNPS, taxes, water, electricity, telephone, insurance and any other supplier).

  • Stock management of office supplies and consumables.

  • Filing and recording of accounting documents

  • Carrying out certain administrative and financial​​

Location: 

Yaoundé

Duration: 

Full-time Contract; 1 year with possibilities of renewal depending on the availability of Funding 

Qualifications, Skills, and Experience:

  • The ideal candidate must hold a master’s degree in Social Science (Political Science, International Development,Law, Economics, and Anthropology or a related field. A degree or a Diploma in Project Management is a must.

  • A minimum of 7 years of working experience in implementing projects relating to vulnerable and marginalized populations in their diversity.

  • Must have an excellent understanding of the development and humanitarian sectors of implementation with at least 3 years of work experience in each sector.

  • Demonstrable skills and experience in project management (human and financial).

  • Excellent skills for networking and collaboration at local and international levels.

  • Excellent communication and report-writing skills in English and French.

  • Demonstrable skills and competencies in working with diverse multidisciplinary teams.

  • High integrity, honesty, and intrinsic motivation for sustainable development in Cameroon.

  • Experience in interdisciplinary development projects, preferably also with international staff.

  • Experience in organizing stakeholders’ meetings and workshops at national and local levels.

  • Experience of working in an international and/or multicultural environment, with NGO experience an advantage.
